Pick up and return

If you have a question about your car rental, you will probably find the answer to your question below. If you couldn’t find an answer to your question, please don’t hesitate to fill in our contact form or contact one of our pick-up locations.

How does the pickup of your vehicle work?

On the day of departure, you pick up the vehicle at the chosen location and at the agreed time.
 At pick-up, we ask for the driver's ID card and driving licence. We then complete the rental agreement together. 

The deposit and advance payment are made at that moment (in cash, by debit or credit card). Once completed, you receive the keys and are ready to go.
 
Our vehicles are always fully fuelled, thoroughly cleaned and provided with all required onboard documents.
Before departure, we go through a checklist together: existing damage, mileage, fuel level, and presence of documents. A digital copy of this checklist will be sent to you. 

How does the return of a car work?

You return the vehicle at the agreed time to the chosen location.
If you're unable to return the vehicle on time, please inform us as soon as possible. 

The vehicle must be returned full of fuel, clean, and free of personal belongings. If the vehicle is excessively dirty, an extra cleaning fee may apply.

If the return takes place during opening hours, we check the vehicle together for damage, mileage and fuel level. Based on this, the final invoice is calculated. Payment takes place on site or via the final invoice, which you will receive by email shortly after. 

If you return the vehicle outside of opening hours, you may leave the key in the designated key drop box. The vehicle will be inspected on the next working day.
Note: you remain responsible for the vehicle until we have physically received and checked it. 

What should I bring with me when I pick up the vehicle?

At pick-up, we ask the main driver to present the following documents: 
  • A valid driving licence
  • A valid ID card
  • A bank or credit card, if the deposit and advance payment haven’t been made yet

Please make sure these documents are physically available at pick-up so everything can be processed smoothly and correctly.
 
For business reservations, we also request the company name and VAT number, if not already provided.
 

What if I want to pick up or return my rental car outside opening hours?

Vehicle pick-up outside opening hours is possible by appointment.
We will agree on a suitable time in advance and provide you with clear instructions. In some cases, the vehicle may already be made available the evening before the rental period. 

Returning the vehicle outside opening hours is done via the key drop box located at the branch’s parking area. Park the vehicle on our lot, remove all your personal belongings, lock the car properly and drop the key in the designated key box. 

The deposit will be refunded after the vehicle has been inspected.
As the renter, you remain responsible for the vehicle until it has been inspected by a staff member of Autoverhuur Meerschaert (including key and documents).
